Approval Workflows

Approval workflows are optional. Use them strategically for customer communications or executive updates that need review before sending.

When to Use Approvals

✓ Use Approvals For:

  • • Customer-facing incident notifications
  • • Executive/stakeholder communications
  • • Legal or compliance-sensitive messages
  • • Public statements about security incidents

✗ Don't Use Approvals For:

  • • Internal team notifications (need speed)
  • • Frequent status updates (slows down communication)
  • • Messages that only go to your own team

How Approvals Work

  1. 1.Configure template — Mark template as requiring approval
  2. 2.Set approvers — Choose who can approve (usually managers/admins)
  3. 3.Request approval — When executing, operator submits for review
  4. 4.Approver reviews — Gets instant notification, reviews message
  5. 5.Send on approval — Once approved, message sends automatically

Keep Approvals Fast

If approval takes too long (5+ minutes), you lose the speed advantage of CommHero. Use approvals for things that truly need review, and have approvers respond quickly.

Audit Trail

Every approval is logged with:

  • • Who requested approval
  • • Exact message content
  • • Who approved/rejected
  • • Timestamp of approval
  • • Any approval comments

This is critical for compliance audits and post-incident reviews.
